Protection of your privacy is of prime importance, hence Cyfuture AI and its developers (subsequently referred to as "SalesAgent", "us" or "we") follow a comprehensive privacy policy. This privacy policy covers our privacy practices regarding the collection, transference, usage, storage & disclosure of your personal information that we collect and store through this application or the personal information provided by you while using our email assistant services.

At Cyfuture AI, we believe your inbox is your private space. We only access what is necessary to make your life easier through AI automation. Here is exactly how we handle your data.

For the purposes of this privacy policy, any information that can potentially identify a person comes under the category of "personal information". Cyfuture AI services request you to provide personal information when you interact with them, and the information you provide is used in accordance with the SalesAgent privacy policy. This information may be used in combination with generic information for various purposes such as email processing, AI-assisted responses, and service improvement. In case you refrain from providing your personal information, you may not be able to help our AI agent manage your inbox and schedule effectively.

You might provide your name, email address, email content, calendar data, and OAuth authentication credentials among other personal information when you use our services or connect your email accounts. SalesAgent collects this data for providing intelligent email management and AI-assisted response services.

With your consent, the data you provide is used in accordance with this privacy policy, legislative requirements (including region-specific restrictions and guidelines, if any), and legitimate disclosure laws. We use the data we collect to provide AI-powered email assistance, automated email responses, scheduled action plans, and calendar management features.

This data is used in the development of new features & services, improving AI response quality, and enhancing the overall user experience.

Personal information that you provide lets us keep you informed about changes in our products, services, the terms & conditions relating to them, and important security updates. We may use the data for system performance analysis, internal auditing and process improvement purposes. For preventing unauthorized access and ensuring service security, we may validate your authentication credentials through secure OAuth protocols.

Cyfuture AI is committed to protect your personal information stored with us. We use a variety of security technologies and procedures, including OAuth 2.0 authentication, encrypted data transmission (TLS/SSL), and secure session management to help protect your personal data from unauthorized access, use or disclosure.

Consequences of not providing personal information

If you choose not to provide your personal information or revoke OAuth access when the same is mandatory to process your request, we may not be able to provide the requested email management services. Specifically:

  • Without Gmail access, email reading and responding features will be unavailable
  • Without Calendar access, meeting scheduling features will be unavailable
  • Microsoft Exchange (EWS) for optional Exchange email integration

You can revoke access at any time through Google Account Permissions

Access, correction and objection of personal information

Your active participation in keeping the data SalesAgent stores about you is encouraged. You can request us to update your personal information in case of changes or errors, and also request deletion, provided we are not required to retain the data for specified amounts of time by law.

To manage your data:

  • Revoke OAuth access through your Google Account settings at any time
  • Request deletion of locally stored action plans and knowledge base data
  • Clear processed email ID records from local storage

Limited Use Disclosure

Cyfuture AI will only use access to read, write, modify, or control Gmail message bodies (including attachments), metadata, headers, and settings to provide the email management features visible and prominent in Cyfuture AI's user interface, and only consistent with the user's reasonable expectations based on the product name and features.

Specifically, we confirm that:

  • We only use Google user data for providing and improving user-facing features that are prominent in our application's interface.
  • We do not transfer Google user data to third parties except:
    1. As necessary to provide and improve our email assistant features
    2. To comply with applicable laws
    3. As part of a merger, acquisition, or sale of assets with notice to users
    4. With your explicit consent
  • We do not use Google user data for serving advertisements.
  • Our use is limited to internal operations and the data has been aggregated and anonymized

Human Review of Data

We do not allow humans to read your Google or Microsoft user data. The only exceptions are if you provide us with explicit consent to troubleshoot a specific issue, if required for security purposes (like investigating a bug), or to comply with applicable laws.

Sharing with or disclosure to third parties

In certain cases, it might become necessary to share personal information with law enforcement, legal or government authorities. These cases may arise from litigation, from public or government requests, or from national security reasons. In such cases, Cyfuture AI will be obliged to disclose your personal information to only the relevant authorities, and to inform you in such events.

In case of any mergers & acquisitions, sale of company assets or reorganization of the firm, SalesAgent may be required to transfer any and all data to third party or parties, including personal information.

We do NOT share your Google user data with third parties for:

  • Advertising or marketing purposes
  • Selling user data
  • Any purpose unrelated to providing our email assistant services

Third-party services

Cyfuture AI products and services integrate with the following third-party services:

  • Gmail: For reading emails so our AI can understand the context and suggest replies.
  • Google Calendar: For checking your availability so the AI can book meetings without you having to check your schedule manually.
  • AI/LLM Providers (OpenAI-compatible services): For powering intelligent email responses and AI assistance
  • Microsoft Exchange Web Services (EWS): For optional Microsoft Exchange email integration
  • POP3/SMTP Services: For optional POP3 email provider integration

If you choose to connect with these third-party services, the data you provide to them is governed by their separate privacy policies, to which you should pay heed regarding the usage of your personal information by them. Cyfuture AI has no control or responsibility towards data collected, stored and manipulated by third parties.

How We Use Your Google Data

The data accessed from your Google account is used exclusively for the following purposes:

  • AI-Powered Email Assistance: Our AI agent reads your emails to understand context and provide intelligent response suggestions.
  • Automated Email Responses: When Autopilot mode is enabled, the application automatically replies to emails based on rules you configure.
  • Email Composition & Sending: Draft and send emails on your behalf through the chatbox interface.
  • Inbox Organization: Mark emails as read, organize with labels, and manage your inbox.
  • Calendar Management: Check your availability and schedule meetings when requested.
  • Action Plans: Execute scheduled email tasks at times you specify.

Google API Services User Data Policy Compliance

Cyfuture AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

AI Processing Disclosure

Email content accessed through Google APIs may be processed by AI/Large Language Model (LLM) services to generate intelligent responses. This processing is:

  • Essential to provide the core email assistant functionality
  • Performed in real-time without permanent storage
  • Subject to the AI provider's data handling policies

Personal information: protection

Cyfuture AI is committed to protect your personal information stored with us. We use a variety of security technologies and procedures to help protect your personal data from unauthorized access, use or disclosure:

  • OAuth 2.0 Authentication: Secure token-based authentication without storing your Google password
  • Encrypted Data Transmission: All data transmitted using industry-standard TLS/SSL encryption
  • Session-Based Token Storage: OAuth tokens stored securely in session memory
  • No Permanent Email Storage: Email content is processed in real-time and not permanently stored on our servers
  • Secure Credential Management: Environment variables for sensitive configuration data

Retention of personal data

We will retain your personal data for as long as needed to provide the access and use of the application unless a longer period of retention is required either by law, or is necessitated for a legitimate business purpose.

Specific retention periods:

  • OAuth Tokens: Cleared upon logout or session expiration
  • Processed Email IDs: Retained locally to prevent duplicate processing; can be cleared manually
  • Action Plans: Retained until manually deleted or executed
  • Knowledge Base Documents: Retained until manually deleted by user
  • Application Logs: Retained for up to 30 days for debugging and security purposes
  • Email Content: Not permanently stored; processed in real-time only

Information specifically relevant for EU users (GDPR)

Cyfuture AI complies with the General Data Protection Regulation (GDPR) directives for data subjects in the EU. If you are a user of Cyfuture AI services in the European Union, you have the following rights with respect to our handling of your personal information:

  • You also have the right to receive a copy of the information that we collect about you whether the information is collected on the basis of consent or because the said information was required by us in order to provide the requested services.
